OVERVIEW
Reporting to the Director of Enrollment, the Associate Director of Admissions assists with the overall admissions process and understands the independent school marketplace in Charlotte and how Charlotte Prep is distinct. The individual must be detail-oriented, dynamic, and relatable. The successful applicant will build and nurture relationships with prospective families, work with teachers and supporting staff, and manage event logistics with grace and poise.
This is a full-time 12-month position.

AREAS OF RESPONSIBILITY
Schedule and conduct admissions tours and manage inquiry phone calls.
- Share the advantages of the PreK-8th grade model
- Take time to understand each division, grade level, and high-level curriculum
- Understand and share programs around leadership, SEL, and special-area classes
- Follow up with all tours completed and missed
- Connect with all inquiries via phone call or email if phone call is not possible
- Keep admissions databases updated with notes and appropriate status
- Utilize admissions tour booking site to create and manage appointments
Track inquiries, applicants, etc.
- Track the admissions process from inquiry through enrollment
- Follow up with families via phone or email at each stage
- Maintain admissions trackers and update student portfolios with relevant materials
- Follow up with feeder schools and prospective families for recommendations and transcripts
- Prepare materials for admissions committee meetings
- Manage the admissions applicant visitor process. Coordinate with teachers for virtual visits and one-off visits as needed. Send reminders prior to visits
Event Planning and Communications
- Assist with outreach to prospective families as needed via email and phone communication, monthly inquiry blasts, etc.
- Keep constant contact or communications tool up to date with prospective and applicant email lists
- Order promotional supplies and other admissions-related materials
- Assist with logistics planning and execution of annual application and retention events
- Assist with connecting prospective and new families with existing Admissions Ambassador families
- Assist with the Student Ambassador program as needed
- Occasionally provide operational support to the Director of Marketing and Communications by being a backup for taking photos or posting on social media
Requirements
PROFESSIONAL QUALIFICATIONS REQUIREMENTS
- Bachelor’s degree required; master’s degree preferred
- At least five years of relevant independent school experience, with strong preference given to an experienced independent school admissions professional
- Proficiency in Canva, Adobe, FACTS SIS database a plus
- Proficient with Google Suite
- Excellent writing and communication skills
- Comfortable with technology and learning new technology platforms for admissions use
